Privacy by design

Where your meeting goes, step by step.

A meeting notetaker hears everything said in the room. So we designed Velio Notes to move as little as possible, keep it for as short a time as possible, and never keep the sound of anyone's voice.

Recording on your computer

This is how every meeting recorded with the app works, in Zoom, Google Meet, Microsoft Teams or anything else.

Your computerCaptures your microphone and the meeting app's sound. Nothing joins the call.
Speech recognitionAudio streams directly to OpenAI over an encrypted connection, with a key that expires in minutes.
Your cabinetOnly the text reaches us. Transcripts and notes are stored encrypted with a separate key.

What we never keep or collect:

  • Meeting audio
  • Voiceprints
  • Your data for model training
  • Advertising or tracking

What we keep, and for how long

Audio

Nothing on our servers. If you choose to keep recordings, they stay on your computer and delete themselves after the period you set.

Transcripts and notes

Encrypted at rest, until you delete them. Set automatic deletion for yourself or your whole team.

Notice log

Who was emailed, when the spoken notice was said, any objections. Kept with the meeting, deleted with it.

Usage counts

Number and length of recordings per day, never their content. Used for limits and to stop abuse.

Who said what, without biometrics

Many tools learn each person's voice to label them. We don't: a voiceprint is biometric data, and nobody in your meeting agreed to give one. Instead, Velio Notes uses:

  • the speaker name the meeting app shows on screen while someone talks;
  • the attendee list of the calendar event, as hints;
  • "Speaker 1" and "Speaker 2" labels from turns in the conversation, which you can rename. They are forgotten after each meeting.

Telling people is built in

You can't turn off every notice method: at least one stays on. Attendees get an email 30 minutes before, with an "I object" button that needs no account, or you read a short phrase that the app detects in the transcript. Each meeting keeps a log of how people were told.

Inside a company, a team can set a policy where staff accept recording of internal meetings once, instead of getting a notice every time.

Importing Zoom recordings (planned)

Some meetings happen without your computer, so we plan to import recordings from your Zoom account after the call. We want to be precise about the difference.

  • You connect your own Zoom account and choose which recordings to import. Nothing is imported automatically without your setting.
  • Our server downloads the audio from Zoom, sends it in parts to speech recognition and discards it once the transcript is ready. In this case the audio passes through our server, in memory and in transit only. We never write it to disk or keep it.
  • The original recording stays in your Zoom account, under Zoom's terms and your own retention settings.
  • Where Zoom records each participant separately, speaker names come from Zoom itself, still without any voice analysis.
